Privacy Policy

Move Beyond | Last updated: May 2026

Move Beyond is committed to protecting your privacy and handling your personal and health information responsibly. This policy explains what we collect, why we collect it, how we use and protect it, and your rights under Australian law.

1. About this policy

This Privacy Policy applies to Move Beyond Pty Ltd and all clinics operating under the Move Beyond name across Victoria, New South Wales, and South Australia ("we", "us", "our").

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), the Health Records Act 2001 (VIC), the Health Records and Information Privacy Act 2002 (NSW), and applicable health privacy legislation in South Australia.

By using our website, booking an appointment, or accessing our services, you consent to the collection and use of your information as described in this policy.

We use your information to:

Provide, manage, and coordinate your healthcare and treatment

Communicate with you about appointments, results, and follow-up care

Process payments and liaise with insurance or funding bodies

Health information is classified as sensitive information under the Privacy Act and attracts a higher level of protection. We only collect, use, and disclose your health information where:

You have consented (expressly or implicitly through seeking treatment)

It is necessary to provide your healthcare

It is required or authorised by law (e.g. mandatory reporting obligations)

It is necessary to prevent a serious threat to life, health, or safety

We will not use your health information for marketing purposes without your separate, express consent.

We may share your information with:

Other treating practitioners within Move Beyond clinics where this supports your continuity of care

External health providers, GPs, or specialists, with your knowledge or consent

Private health insurers, WorkCover, TAC, NDIS, and Medicare, as required for billing and claims

We do not sell your personal information to any third party.

Overseas disclosure: Some of our technology providers may store or process data on servers outside Australia. Where this occurs, we take reasonable steps to ensure those providers are bound by privacy standards consistent with the APPs.

8. How we store and protect your information

We store personal and health information securely, using a combination of physical and electronic safeguards including access controls, encrypted storage, and secure practice management systems.

We retain records in accordance with the minimum periods required under applicable law. Under Victorian and NSW health records legislation, adult health records are generally retained for a minimum of 7 years from the date of the last service (or until the patient turns 25, whichever is longer, for records relating to people who were minors).

When information is no longer required and retention obligations have been met, we take reasonable steps to destroy or de-identify it securely.

9. Website and cookies

Our website may use cookies and similar tracking technologies to improve your browsing experience and help us understand how our site is used. This may include:

Session cookies that expire when you close your browser

Analytics tools (such as Google Analytics) that collect anonymised data about site usage

Booking platform tools that may set functional cookies

You can control or disable cookies through your browser settings. Disabling cookies may affect the functionality of some parts of our website. We do not use website cookies to collect health information.

10. Accessing and correcting your information

You have the right to request access to the personal and health information we hold about you, and to request corrections if any of that information is inaccurate, incomplete, or out of date.

To make a request, please contact us using the details in section 12. We will respond within a reasonable timeframe. In some circumstances, access may be limited where permitted by law (for example, where disclosure could pose a serious threat to health or safety).

There is no charge for making an access request, though reasonable administrative fees may apply if the request is complex or requires extensive records retrieval.
